1. Introduction and scope
Digital Bureau ("Digital Bureau", "we", "us", or "our") is an AI-native digital marketing agency based in Toronto, Ontario, Canada. We respect your privacy and are committed to handling personal information responsibly.
This policy explains what information we collect through digitalbureau.ai, how we use it, who we share it with, and the choices available to you. It applies to visitors to our website and to people who contact us about our services. It does not apply to third-party websites we may link to, which are governed by their own policies.
2. Information we collect
We aim to collect only what we need. The information we handle falls into three categories:
- Information you give us. When you submit our contact form or email us, we receive the details you choose to provide — typically your name, email address, company or organization, and the content of your message. If you become a client, we may also hold project-related contact details and correspondence.
- Analytics and usage data. We collect aggregate information about how the site is used: pages viewed, time on page, referring source, approximate region, device type, and browser. This is used to understand what content is useful, not to identify individuals.
- Server logs. Like most websites, our hosting infrastructure automatically records technical data such as IP address, user agent, requested URL, and timestamp. These logs support security, diagnostics, and abuse prevention.
We do not ask for sensitive personal information through this website, and we ask that you do not send it to us through the contact form.
3. How we use information
- To respond to enquiries and follow up on requests you send us.
- To scope, deliver, and support the services we are engaged to perform — web development, SEO, GEO, AEO, and related consulting.
- To operate, maintain, and improve the website, including measuring which content and pages are effective.
- To protect the security and integrity of our systems, and to meet legal or professional obligations.
We rely on your consent, or on the reasonable purposes permitted under applicable Canadian privacy law, as the basis for these uses. We do not use contact form submissions to add you to a marketing list without your agreement.
4. Cookies and analytics
We use first-party cookies and similar technologies for basic site functionality and preferences, and we use third-party analytics services to understand aggregate traffic patterns. Analytics cookies may be set by those providers on our behalf.
You can control cookies through your browser settings — most browsers let you block or delete cookies, or warn you before one is set. Many browsers also offer a "do not track" or private browsing mode. Blocking cookies may affect how parts of the site behave, but the site remains readable without them.
5. Third-party service providers
We use a small number of third-party providers to run the site and our business — broadly, website hosting and content delivery, web analytics, and email and productivity services. These providers process information on our instructions and only to the extent needed to provide their service to us.
Where a client engagement requires us to work inside platforms or tools the client already uses, our access is governed by that engagement and by the client’s own agreements with those platforms.
6. Data sharing
We do not sell personal information, and we do not rent or trade it. We share personal information only in these situations:
- With the service providers described above, for the purposes described above.
- Where you have asked us to, or where sharing is an obvious part of delivering a service you requested.
- Where we are required to by law, legal process, or to establish, exercise, or defend a legal claim.
- In connection with a reorganization or transfer of our business, in which case information would remain subject to protections consistent with this policy.
7. Data retention
We keep personal information only as long as it is needed for the purpose it was collected for, or as long as we are required to keep it for legal, accounting, or record-keeping reasons. Enquiries that do not lead to an engagement are kept for a limited period and then deleted or anonymized. Analytics data is retained in aggregate form.
8. Security
We use reasonable administrative, technical, and physical safeguards appropriate to the sensitivity of the information we hold — including encrypted connections, access controls, and limiting internal access to those who need it. No method of transmission or storage is completely secure, so we cannot guarantee absolute security, but we take the responsibility seriously and review our practices as our tools change.
9. Your rights under PIPEDA
Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA) gives you certain rights over your personal information. Subject to legal exceptions, you may:
- Request access to the personal information we hold about you.
- Ask us to correct information that is inaccurate or incomplete.
- Withdraw your consent to our use of your information, on reasonable notice — though this may limit our ability to provide a service you have asked for.
- Ask us to delete information we no longer have a reason to keep.

10. Children’s privacy
Our website and services are intended for businesses and adults. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, contact us and we will delete it.
11. International transfers
We are based in Canada, but some of the providers we use may store or process information on servers located outside Canada. Where that is the case, the information may be subject to the laws of the country in which it is held, including lawful requests from authorities there. We take reasonable steps to ensure providers offer a comparable level of protection.
12. Changes to this policy
We may update this policy from time to time to reflect changes in our practices, our tools, or the law. When we do, we will revise the effective date at the top of this page. Material changes will be highlighted on the site. We encourage you to review this page periodically.
